A practical guide

Church visitor follow-up that works.

Everything below is yours to use whether or not you ever become a customer — the timing that works, the words to say, and the one part of this that no template can solve.

The first six weeks

Most follow-up plans fail because they are too elaborate to sustain past the second month. This one has four touches. Do these four properly and you will be ahead of almost everyone.

1

Within 24 hours — a short text

The single highest-return thing you can do. Warm, brief, from a person rather than the church. No invitation to anything yet; you are only saying you noticed them.

2

Within 48 hours — a personal note or call

A pastor or team member reaches out properly. If they left a prayer request, this is the moment to pray for it by name — that is what people remember.

3

Week two — one useful invitation

Now offer one specific next step: a newcomers’ coffee, a small group, the midweek gathering. One, not a menu.

4

Week six — the quiet check

Have they been back? If not, one more warm, no-pressure message. After this, stop — persistence past this point reads as pressure, not welcome.

Scripts and templates

Copy these, change the names, and make them sound like you. The tone matters more than the wording: short, personal, and asking for nothing.

If you text people, make sure they have opted in and every message has a clear way to opt out — see our SMS terms for how we handle that.

The part a template cannot fix

Every script above assumes you know who to send it to. In the room, you do — someone noticed a new face, or a card came back. Online, you almost never do. The stream reports that four hundred people watched, and not one of those four hundred has a name attached.

So the family watching for the first time gets no text. And the couple who watched every single week until March, and then quietly stopped, get no call — because nobody knew they had gone.

PealCast is the missing half. Each person watching connects once with a verified mobile number, and every Monday your team gets two short lists: who is new, and who has drifted. Names and numbers, ready for the scripts above.
